Step by step
How it works
- 1
Your phone rings at 9pm.
After hours, on a job, or on another call, you can't always pick up.
- 2
Nobody picks up.
Your phone company forwards the calls you don't answer to your PilotLight number. Your number stays the same.
- 3
PilotLight answers.
It takes the caller's details and books a visit on your calendar. Emergencies go to your on-call tech right away.
- 4
The job's on your calendar.
You get a text: a short summary of every call, so you always know who called and what they needed.
Features
What it does
Answers 24/7
Nights, weekends, and the calls you can't get to during the day.
Books jobs
Into open arrival windows on your calendar, after reading the details back to the caller.
Texts emergencies to your on-call tech
No heat in a freeze, water leaking, and other urgent calls. Gas smells and other safety issues get 911 instructions first.
Follows up with callers who didn't book
One text with a link to book. Never more than once a day, and never after they reply STOP.
Sends a monthly report
On the 1st of each month, you get a link to a report showing calls answered, jobs booked, and emergencies.
Asks happy customers for Google reviews
A short text after the job is done.
Safety first
Built for HVAC
It follows your rules on every call, day or night. Tested on 289 simulated calls across 19 scenarios.
See how it's built and testedEmergency rules you set
We start from three rules and change them to fit your business: no heat in freezing weather, no AC in 95-degree heat with someone elderly, an infant, or someone with a medical condition at home, and water leaking from the equipment. Those calls go to your on-call tech instead of the calendar.
Gas and carbon monoxide come first
If a caller smells gas or their carbon monoxide alarm is going off, it doesn't ask questions first. It says: “Please leave the home right now and call 911 from outside.” For gas, it also tells them to call the gas company from outside. Then it alerts your on-call tech and ends the call so they can get out.
Only your service area
It asks for the ZIP code and reads it back. If the address is outside your service area, it tells the caller politely and doesn't book. Your summary marks the call “Out of area.”
Only your diagnostic fee
The only price it ever says is your diagnostic fee. If a caller asks about anything else, it says your technician gives pricing on site after the diagnostic visit.

What to expect
Getting set up
Day 1
A short call with me
Your hours, service area, diagnostic fee, emergency rules, and on-call number.
Within a week
I set it up
Your AI receptionist, a booking calendar connected to your work calendar so it only offers open times, and your call alerts.
Together
Forward your missed calls and test
Your phone company forwards calls nobody answers after 4 or 5 rings, so your team can still pick up. Then we make test calls together: a booking, an emergency, and a gas smell.
Next 30 days
Your free pilot
It answers the calls you miss. I go through calls myself and fix anything it gets wrong.
Texts to you and your on-call tech start once phone carriers approve your texting number, which can take a few weeks. Until then, your alerts come through a free phone app.
The person behind it
About me
I'm Eashan Gani, a Vanderbilt student here in Nashville. I build and set up PilotLight myself.
Why I built this
Small HVAC shops lose jobs when calls go to voicemail after hours, because the homeowner with a broken AC often calls the next company instead. So I built an AI receptionist that answers those calls, books the job on your calendar, and gets emergencies to your on-call tech right away.
Questions or problems? Text me or leave a voicemail at (615) 914-0595, or email reacheashan@gmail.com, and I'll get back to you within a few hours.
If something isn't working for your business, you'll be talking to the person who can fix it.
FAQ
Questions
Will callers know it's AI?
Yes. It says so at the start of every call: it's an AI assistant, and the call may be recorded. If a caller asks, it tells them again.
What if it makes a mistake?
It reads the details back before booking, only offers times that are open on your calendar, and never quotes a price except your diagnostic fee. You get a text about every call, so nothing slips by. I also go through calls myself and fix anything it gets wrong.
Can I keep my current phone number?
Yes. Your phone company forwards the calls you don't answer to your PilotLight number. Callers still dial the number they already know. I'll help you set up the forwarding.
Can I cancel anytime?
Yes. You start with a free 30-day pilot, and there's no setup fee. After that it's $249 a month, month to month, with no contract.
Is there a limit on calls?
Pricing includes up to 1,000 AI-answered minutes a month, far more than most small shops use. If you ever get close, I'll talk to you before anything changes.
Is my customers' information safe?
Callers' details are used only to book visits, alert your on-call tech, send you call summaries, and follow up about their service request. They're shared with you and the services that run PilotLight, such as Retell AI (phone calls), Cal.com (booking), Supabase (storage), Twilio (texts), and Vercel (hosting), which use them only to provide those services. We never sell them or share phone numbers for marketing. Anyone can ask to see or delete their information by emailing reacheashan@gmail.com. The details are in our privacy policy.
Does it work with my scheduling software?
Tell me what you use, and I'll check whether PilotLight can connect to it. If it can't, PilotLight books visits on a calendar you can see, and it only offers times that are open there.
